Billing Policies
Billing Philosophy and Policies
Like all practices, the Hudson Valley Center for Development bills for its services, most typically (though not always) while working in network with your insurance plan. To avoid any surprises or dissatisfaction with our practices, we are listing some of our most important policies here on our website, so that prospective clients might review these and make an informed decision about whether they wish to be seen at our Center. Current clients may obtain another copy of our full policies by writing the Practice Manager at admin@hudsonvalleycenter.com
Billing Practcices - PLEASE READ
The following is a summary. Our formal Patient Financial and Payment Policy, Attendance and Scheduling Policy, and related authorization forms govern the details of these policies and will be provided shortly after you speak with our Intake Coordinator.
In our practice, treatment is usually scheduled on a regular, often weekly, basis. When the clinic provides a recurring appointment time, that time is reserved for the patient.
For patients using in-network insurance coverage (and this is most of our patients), we generally collect the copayments, coinsurance, deductibles, and other patient-responsibility amounts determined by the insurance plan. We do not control the terms of the patient's insurance coverage.
Regular attendance is expected because clinicians reserve specific appointment times for specific patients.
Credit Card and Payment
The Practice requests that patients voluntarily maintain an active credit card on file with our practice administration.
Patients who do not maintain a credit card on file remain responsible for timely payment by cash or check at the the time of each applicable session for amounts then known or reasonably determined to be due.
Eligible credit-card payments are subject to a 3% credit card surcharge when permitted by applicable law, credit-card network requirements, our payment-processing agreements, and applicable insurance contracts.
For example:
$25.00 copay due
$25.75 credit card price
Our complete Patient Financial and Payment Policy contains the total credit-card prices for the amounts most commonly charged by the Practice.
Commercial Insurance - Missed Sessions Policies*
Commercial and out-of-network patients may be responsible for a 'Missed Session Fee' when permitted by their insurance arrangement and applicable law.
Adults: Up to three cancellations per treatment year may be made without a Missed Session Fee when at least 24 hours' notice is provided.
Children/Adolescents: Up to two cancellations with at least 24 hours' notice may be made without a Missed Session Fee from September through June, plus two during July and August.
After the applicable allowance has been used, additional cancellations may be subject to a Missed Session Fee. Same-day cancellations, cancellations with less than 24 hours' notice, and missed appointments may also be subject to the fee.
Current Missed Session Fees are:
Master's Level, Licensed Clinician: $90
Limited Permit/Post Master's Clinician: $75
Intern: $45
A completed same-week make up session will not be treated as a Missed Session. Due to clinician scheduling, make-up sessions are not guaranteed. The Practice may make reasonable exceptions based on individual circumstances.
*Medicaid and Medicaid Managed care plans are subject to a separate attendance-based policy. Details are provided in the full Attendance and Scheduling Policy provided after consultation with the Intake Coordinator.
Ending Treatment
Adult patients or parents/guardians should promptly notify the clinician if they intend to end treatment so that future appointments can be canceled.
For commercial insurance and out of network patients, a scheduled appointment missed before notice of termination may be subject to the applicable Missed Session Fee.
If treatment must end because of financial concerns or unpaid balances, the Practice will provide reasonable, clinically appropriate pretermination counseling without charge, recommendations and, when indicated, appropriate referrals or transition assistance.

If these policies are not workable for you or your family, or you do not wish to participate in treatment under these arrangements, another practice may be a better fit.
